Booking Terms & Conditions

By placing a booking with Luwawa Forest Lodge you (the lead guest) and your booking party (guests) agree to the following terms and conditions. If you have any questions about booking with us, please contact us before making a booking.

If you make your reservation via a travel agent, or other third party, then you have a separate legal relationship with that party and Luwawa Forest Lodge has no liability for any acts or omissions of such party including their observance of your data protection rights.

Booking

To place a booking with us the lead guest must be at least 18 years of age. The maximum number of staying guests per room is illustrated in the room occupancy details on the website. Where the person making the booking is different to the lead guest taking up the occupation, the person making the booking may be held responsible for cancellation, non-arrival and damages. Only the lead guest and the named booking party may use the property and its facilities; third-party visitors are only allowed access at the manager’s discretion.

Behaviour

All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement.  

Deposit

At busy times to secure booking we may require a deposit to be paid in advance, this deposit amount is non-refundable.  Deposit payments must be ‘cleared funds’ before a booking can be confirmed.

Payments

Payments can be made online by bank transfer or on-site by cash deposit, by the date specified.  The amount specified is net, after charges, exchange rate etc. 

Check-in & Check-out

Guests may check-in from 14:00 and should vacate the accommodation by 11:00.

Booking Cancellation & Non-Arrival Conditions

When you make your room booking, and we confirm that booking, and we have received the required deposit, a legally binding contract exists between us. You remain liable to pay in full or in part for the booking, even if you are unable to stay with us.

If for some reason you do need to cancel, it is important that you tell us at the first opportunity so that we may attempt to re-let your accommodation and minimise your liability/loss. 

You should consider taking out cancellation insurance to protect you against possible loss.

Returned Deposit

Guests who need to cancel a booking should contact us as soon as possible. Deposits already paid are only returned in accordance with the following conditions;

  • Cancellation made 15 days or more in advance of arrival date = Full deposit refund
  • Cancellation made 14 days or less of arrival date = No refund issued, full amount of booking due

We will allow you to cancel your booking without penalty, but you must do so within 14 days of the due date, in writing or by email to luwawalodge@yahooo.com. We will acknowledge receipt of your cancellation by return. Please do not consider your booking cancelled until you receive our confirmation.

In the rare event we need to cancel your booking with us, please be aware that our liability only extends to a full refund of monies paid to us.  We would, however, attempt to offer you alternative accommodation.  

COVID 19

In the event of a cancellation due to the Covid 19 situation in either country we will offer you the opportunity to postpone you trip by approximately 12 months subject to availability, otherwise the conditions above will apply.

Currency

Reservations made directly with Luwawa Forest Lodge will be charged in Malawian Kwacha, as shown on our website, or given over the telephone at the time of booking.  Any currency conversion is for guidance only.  Any deposits or pre-payments will be deducted from the final reservation invoice in the hotel’s local currency.  If payment is made in USD, GBP, Euro it will be made at Luwawa Forest Lodge’s exchange rate and not necessarily at online rates.

A refund of a deposit or prepayment, if any, will be subject to the exchange rate applied by your payment card provider at the time of any such refund and may differ from the exchange rate applied at the time such deposit or prepayment was made.

WIFI Fair & Appropriate Usage Policy

Where WiFi Internet access is provided via TNM   and a small charge will be made to cover your full stay  and  the use there of.

The Internet access provided is intended for general use such as access to the world wide web, email, messaging, social media etc. It is not intended or ideally suited for heavy media streaming, online gaming, extensive downloads / uploads etc.

Access to illegal activity or use of our network for illegal activity is prohibited.

Wifi may be switched off at the managements discretion.

Damages & Lost Property

We reserve the right to charge the lead guest for any damages caused through the course of a booking by any member of the booking party. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings. Any accidental damages should be reported as soon as possible in order to minimise damage and associated costs. Lost keys will incur a replacement charge per key of 20USD.

Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of one month. While we will make our best efforts to reunite lost property with their owners’ we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking-out. We may offer to courier lost items via DHL at the cost of the property owner (Please note that a flat administration fee will be charged to cover transportation and time, if urgent, to take the property to Mzuzu) otherwise collection can be arranged.

Child Accommodation

Luwawa Forest Lodge prides itself on its child-friendly approach and guests with children are always welcome.  Children over 3 and under 13 years are charged half price for over-night accommodation in chalet, hostel and camping. Infants aged up to 3 years old are welcome on a complimentary basis.  Children over 3 and under 13 years are charged half price for food in our restaurant.

Child Safety

All children are considered to be under continuous supervision by their parents. Consequently, children should be supervised at all times, unless by prior arrangement. This especially applies when they are using equipment at the Luwawa Forest Lodge, e.g. canoes, Jungle Gym etc. Damage caused to equipment, fittings and furnishings may be chargeable.

Child Security

We do not allow photography of children except by parents and guardians. Staff have been advised not to have physical contact with children , develop friendships or exchange contact details.  

Food & Drink

Only food and drink that is purchased at Luwawa Forest Lodge may be consumed on the premises unless prior consent has been obtained, for which a charge will be made. The only exception is baby food and for guests staying in self-catering accommodation.

Smoking

Smoking of any tobacco is not allowed in the Lodge, chalets, cottages, bunk house or rooms.

Drugs

Illegal drugs are not permitted anywhere within the Luwawa Forest Lodge estate.

Alcohol

Alcohol will only be served to guests over the age of 18. We reserve the right not to serve alcohol to a guest.  A corkage charge of 4US$ will be charged per bottle on wine brought in by the guest.

Pets & Service Dogs

We do accept pets however please call in advance to confirm.  Luwawa Forest Lodge does have a Boerbull as part of the security team and therefore  he  is our priority.  Your dog may be allowed to come with you but must be well trained and be  on a lead if we consider it to be necessary.  Dogs must be on a lead when walking them outside of the lodge to protect wildlife and local persons, this applies to our dog (Bob) also.

Parking

On-site parking is provided and guests accept that they park their vehicles at their own risk.

Your Personal Details & Privacy

We are required to keep a register of guests over the age of 16 who stay with us, this includes full names and nationality, and/or passport numbers, place of issue, details of next destination if they are non-Malawi guests.

The personal details you provide as part of any booking or enquiry directly by telephone / through this website / third party website will not be divulged to any third party.

This information will be requested on check in.

Our Right To Cancel

We reserve the right to cancel any booking without compensation, refund or reimbursement if the terms of these conditions are breached.

Force Majeure 

Luwawa Forest Lodge will not be liable for any change or cancellation of any reservation that is caused, in whole or in part, by events, occurrences, or causes beyond the control of Luwawa Forest Lodge.  Such events, occurrences, or causes include, without limitation, acts of God, terrorist activities, weather, strikes, lockouts, riots, acts of war, earthquake, volcanic activity, ash clouds, tsunamis, fire and explosions.
